The Operations Specialist handles order process —from start to finish—includes data entry, customer service and internal cross function collaboration. The Operations Specialist maintains good customer/vendor relations, coordinates with team members and provides the highest level of customer service to ensure consistent customer satisfaction, interacts with internal IBG’s team to ensure that customer order requirements are being met and vendor performance are monitored and managed. The Operations Specialist analyzes problems and provides corrective action to address needs. This role is responsible for all signed customer accounts’ order execution. The candidate must be a solid collaborator, possesses strong customer service skills, and could solve conflicts in accord with Roberts’ Standard Operating Procedures (SOPs). This role is not responsible for selling products or services to existing or potential customers.

IN THIS ROLE, YOU WILL:

  • Manages Order execution to maintains good relationships and drives orders/projects from start to finish -- from introduction of services through timely delivery of order.

  • Provides accurate, timely, and knowledgeable responses to inquiries about order process/services.

  • Data Entry in MAS and order process procedures · Review/approve & process Roberts Sales Order acknowledgement as needed, solving order issues.

  • Performs regular systems updates and maintains all necessary systems records to reflect current approval and order status.

  • Communicates with customer regarding inquiries, sales order acknowledgement, artwork, proofs & customer approvals on pre-production samples (PPS), bulk samples/quality assurance (QA) samples, and production samples (PS), payment collections, freight estimate & approval.

  • Serves as the primary liaison between customers and RCC Purchasing Department and/or Roberts overseas offices.

  • Communicates with customer accurately, determines order lead-time, and ensures manageable work streams.

  • Communicates order status to client regularly and upon request, and troubleshoots customer’s order issues, problems, and provide answers to customer questions.

  • Works effectively with Roberts overseas offices and vendors/factories regarding customer’s needs, changes, or problems

  • Maintains good morale among team member through personal attention and clear, assertive action.


Job requirements

ABOUT YOU:

  • Minimum of associate degree (AAS), bachelor’s degree preferred, or equivalent of 4+ years similar work experience.

  • Past customer service and cosmetic industry experience desirable

  • Intermediate to advanced proficiency with Microsoft Office (Outlook, Word, Excel)

  • Cursory knowledge of order processing software Sage 100 or NetSuite

  • Ability to work well independently and in a team environment. · Rigorous diligence; meticulous and accurate

  • Well organized, good tracking record skills

  • Ability to focus and work in a demanding environment.

  • Excellent communication and people skills

  • Flexibility and adaptability to change
